# Build a form

Create a form, choose its fields and steps, and make it live so people can start sending responses.

A form collects enquiries, requests or feedback from people outside your organisation. Build it once, share its link or put it on your website, and read every response in the inbox.

## Before you start

<ul class="accent-bullets"><li><p>Owners, admins and managers can create forms. Members can open the forms they've been added to, and guests can't use forms. See <a href="../marketing/who-can-see-a-form.md" target="_blank" rel="noopener noreferrer" class="cursor-pointer box-border border-b transition-all duration-75 " style="text-decoration: none; border-color: var(--portal-accent-color);">Who can see a form</a>.</p></li><li><p>Your plan sets how many forms you can have: 1 on Launch, 3 on Orbit, and as many as you need on Landing.</p></li></ul>

## The form you start with

Your organisation is given one form to start from, a draft called **Contact**, so you may find it on your **Forms** page already. It asks for **First Name** and **Last Name** side by side, then **Email**, **Phone**, **Company Name** and **Message**. On Orbit and Landing it also has an automation, **New Contact**, which adds whoever writes in to your contacts, along with their company. See [Automate a form](../marketing/automate-a-form.md).

It's a form like any other: change it, make it live, or delete it. It counts as one of your plan's forms, so on Launch it's your 1 form until you delete it.

You're also given a draft called **Newsletter sign-up**, for growing your marketing list. It doesn't count towards your plan's forms. See [Collect newsletter sign-ups](../marketing/collect-newsletter-sign-ups.md).

## Create a form

<ol class="steps-list"><li><p>Under <strong>Marketing</strong> in the sidebar, choose <strong>Forms</strong>, then <strong>New form</strong>.</p></li><li><p>Give it a <strong>Name</strong>, such as "Contact us". Visitors see the name at the top of the form.</p></li><li><p>Choose its <strong>Layout</strong>:</p></li></ol>

<ul class="accent-bullets"><li><p><strong>Inline</strong> puts up to 2 fields and the button on one row, such as an email address and <strong>Sign up</strong>. It suits a sign-up in your website's footer.</p></li><li><p><strong>Single step</strong> puts every question on one page. It suits a short form.</p></li><li><p><strong>Multistep</strong> splits the questions across pages, with a progress bar.</p></li></ul>

<ol class="steps-list"><li><p>Choose <strong>Create form</strong>.</p></li></ol>

The form opens in the builder as a **Draft**. It starts with **Name**, **Email** and **Message** fields, which you can keep, change or remove. A multistep form starts with them across two steps, and an inline form starts with **Email** alone.

## Add and edit fields

The **Build** tab has your fields on one side and a preview on the other.

<ol class="steps-list"><li><p>Choose <strong>Add field</strong> and pick a type. The new field opens, ready to edit.</p></li><li><p>Set its <strong>Label</strong>, which is the question visitors see. Add <strong>Help text</strong> if the question needs a line of explanation.</p></li><li><p>Turn on <strong>Required</strong> if the form can't be sent without an answer.</p></li><li><p>Fill in anything else the type offers, such as a <strong>Placeholder</strong> or its <strong>Options</strong>.</p></li></ol>

To change a field later, select its row to open it. Drag a field by its handle to reorder it, and use the bin icon on its row to remove it. You're asked to confirm first.

Fields save by themselves about a second after you stop typing. If something is missing, such as a label, the field is outlined, the problem shows under the control it's about, and you'll see "Fix the marked fields to save your changes."

## Field types

| Type | What the visitor does | Extra settings |
| --- | --- | --- |
| **Text** | Types a short answer | **Placeholder**, **Longest answer, in characters** (up to 500) |
| **Long text** | Types a longer answer | **Placeholder**, **Longest answer, in characters** (up to 10,000) |
| **Number** | Enters a number | **Placeholder**, **Smallest**, **Largest** |
| **Email** | Enters an email address | **Placeholder** |
| **Phone** | Enters a phone number | **Placeholder** |
| **Link** | Enters a full web address | **Placeholder** |
| **Dropdown** | Picks one option from a list | **Placeholder**, **Options** |
| **Multiple choice** | Picks one or more options | **Options** |
| **Single choice** | Picks one option | **Options** |
| **Tick box** | Ticks a box | None |
| **Switch** | Turns a switch on | None |
| **Address** | Enters an address | None |
| **Country** | Picks a country | None |
| **Rating** | Gives a rating | **Rate with** |
| **File upload** | Adds files | **Files it takes**, **Most files** |

<ul class="accent-bullets"><li><p>For a field with <strong>Options</strong>, choose <strong>Add option</strong> to add another, up to 50.</p></li><li><p>When you set <strong>Longest answer, in characters</strong> on a <strong>Text</strong> or <strong>Long text</strong> field, visitors see a count under it as they type, such as "12 / 120".</p></li><li><p>A <strong>File upload</strong> field starts by taking images and PDFs. Under <strong>Files it takes</strong>, tick any of <strong>Images</strong>, <strong>PDFs</strong>, <strong>Documents</strong>, <strong>Spreadsheets</strong>, <strong>Presentations</strong>, <strong>Zip archives</strong>, <strong>Audio</strong> and <strong>Video</strong>. <strong>Most files</strong> can be up to 10.</p></li><li><p>A required <strong>Tick box</strong> or <strong>Switch</strong> has to be on before the form can be sent, which suits an "I agree" question.</p></li><li><p>Every field also has a <strong>Key</strong>. You only need it if you post to the form from your own website. See <a href="../marketing/post-to-a-form-from-your-own-website.md" target="_blank" rel="noopener noreferrer" class="cursor-pointer box-border border-b transition-all duration-75 " style="text-decoration: none; border-color: var(--portal-accent-color);">Post to a form from your own website</a>.</p></li><li><p>A <strong>Rating</strong> field starts with 5 stars. Under <strong>Rate with</strong>, choose <strong>5 stars</strong>, <strong>10 stars</strong>, <strong>Slider, 1 to 5</strong>, <strong>Slider, 1 to 10</strong>, <strong>Thumbs up or down</strong> or <strong>Faces</strong>. Every style is stored as a number from 1, so you can change the style later and keep the answers you already have.</p></li></ul>

## Put two fields side by side

Short fields that belong together, such as a first and last name, can share a row.

<ol class="steps-list"><li><p>Choose <strong>Add field</strong>, then <strong>Columns</strong> at the bottom of the list.</p></li><li><p>In the new row, choose <strong>Add left field</strong> and pick a field, then <strong>Add right field</strong> and pick another. To use a field you've already added, drag it by its handle onto the row's empty side.</p></li><li><p>To switch them over, choose <strong>Swap sides</strong>.</p></li></ol>

On a phone, the two fields stack, left one first. A row holds up to two fields, and a row can't go inside another row. Removing the row removes the fields in it.

## Work with steps

On a multistep form, each step is a page with its own fields.

<ul class="accent-bullets"><li><p>Give each step a title and a <strong>Description</strong>. Visitors see them at the top of the page.</p></li><li><p>Choose <strong>Add step</strong> to add a page. A form can have up to 10.</p></li><li><p>To move a field to another step, open the field and choose the step under <strong>Step</strong>.</p></li><li><p>Use the bin icon beside a step's title to delete it. If the step has fields, you're asked to confirm, because they go with it.</p></li></ul>

Use the **Inline**, **Single step** and **Multistep** switch at the top of the **Build** tab to change the layout at any time. Going back to **Single step** or **Inline** gathers every field onto one page, in order, so nothing is lost.

## Inline forms

An inline form puts its fields side by side with the button at the end of the row. On a phone, they stack, with the button underneath. The privacy policy agreement and the bot check go under the row.

<ul class="accent-bullets"><li><p>It takes up to 2 fields. Once it has 2, <strong>Add field</strong> is unavailable. To add more, choose <strong>Single step</strong> first.</p></li><li><p>Its fields have to be ones that fit on a line: <strong>Text</strong>, <strong>Number</strong>, <strong>Email</strong>, <strong>Phone</strong>, <strong>Link</strong>, <strong>Dropdown</strong> or <strong>Country</strong>.</p></li><li><p>It can't have <strong>Columns</strong>, because its fields already share a row.</p></li></ul>

**Inline** is unavailable for a form with more than 2 fields, a field of another type, or columns, and the builder says why under the switch, such as "Inline forms take up to 2 fields. Remove fields to use it."

## Add a cover image

Choose **Add cover image** on the **Build** tab to put a picture across the top of the form. Choose **Replace cover image** or **Remove cover image** to change it.

## Check the preview

The panel under **How it looks to a visitor** shows the form as you build it, in your organisation's branding. You can type in it and step through a multistep form. Nothing you enter there is sent.

To see the whole page, choose **Open form**. While the form is a draft, only the people on the form can open it, and it's a preview.

## Make the form live, or close it

Use the status menu beside the form's name. Each status has its own icon, green for live and red for closed:

<ul class="accent-bullets"><li><p><strong>Draft</strong>: only the people on the form can see it.</p></li><li><p><strong>Live</strong>: taking responses. A form needs at least one field to go live.</p></li><li><p><strong>Closed</strong>: visitors are told it has stopped taking responses.</p></li></ul>

You can move between them whenever you like. Closing a form keeps its responses.

## Duplicate a form

<ol class="steps-list"><li><p>Under <strong>Marketing</strong>, choose <strong>Forms</strong>.</p></li><li><p>Open the menu at the end of the form's row and choose <strong>Duplicate form</strong>.</p></li></ol>

The copy is a new draft with the same fields, settings and cover image. It doesn't copy the responses, the automation or the list of people who can access the original, and it gets its own link.

## Delete a form

<ol class="steps-list"><li><p>Open the menu at the end of the form's row and choose <strong>Delete form</strong>.</p></li><li><p>Confirm with <strong>Delete form</strong>.</p></li></ol>

Every response sent to the form is deleted too, with their files. This can't be undone.

The **Newsletter sign-up** form you're given can't be deleted. Close it instead. See [Collect newsletter sign-ups](../marketing/collect-newsletter-sign-ups.md).
