A deal is a piece of work you're trying to win: what it's worth, when you expect it to close, where it sits in your pipeline and who it's with. Keeping your deals in 53 Degrees shows you what's in play at a glance, and a won deal can start the project that delivers it.
Before you start
Owners, admins, managers and members can see and create deals. Members can change only the deals assigned to them. Owners, admins and managers can change anyone's. Guests don't see deals. See Members and roles.
Create a deal
Go to Deals and choose New deal.
Give it a Name, for example "Acme renewal".
Choose a Stage. Only open stages are offered, because a new deal isn't already won or lost.
Add a Value and an Expected close date if you know them. Both are optional, and you can type "25,000" with a comma.
The Assignee starts as you. Change it if the deal belongs to someone else.
Link the Company and People the deal is with. Pick a company and the people list narrows to people who work there, and the other way round.
Add Tags, a priority and a description if you want them.
Choose Create deal. The deal opens.
You can also start a deal from a contact's page, and the dialog arrives with that contact already filled in.
Update a deal's details
Everything about a deal sits in the header at the top of its page, and you change each detail in place:
- Stage: the pie icon beside the deal's name.
- Value: select it, type the new amount and press Enter. Escape cancels.
- Expected close date, priority and assignee: select each to change it.
- Linked contacts: choose Link a contact, or the pencil beside the contact chips, then pick the Company and People and choose Save. A deal has at most 1 company and any number of people.
Below the header, Notes holds your notes on the deal and Board holds the tasks it takes to close it.
Once a deal has a proposal, its value follows the proposal total: it updates when you send the proposal and again when it's signed.
Switch between list and board
Deals has two views, List and Board, and filters carry across both.
- List is a table you can sort and filter by priority, stage, assignee, company, person, tags and who created it. Won, lost and on-hold deals are hidden until you choose Show completed.
- Board has a column for each stage, with the number of deals and their total value at the top. Drag a card to another column to change its stage. Closed columns show the latest 50 deals, and the List has the rest.
To change several deals at once, select them and choose Actions. You can set priority, stage, assignee, expected close date and tags, or delete them. Deals you aren't allowed to change are skipped, and the message tells you how many.
Win or lose a deal
Move the deal to Won, Lost or On hold like any other stage.
- Lost asks Why was this deal lost? Pick a reason, or Other and say what happened, add a note if it helps, and choose Mark as lost. Choose Cancel and the deal stays where it was. The reason shows in the deal's header.
- Won shows a strip on the deal: choose Create project to start the delivery work, with the deal's contacts copied onto the project. Once a project exists, the strip links to it instead. Creating a project needs the owner, admin or manager role.
When a deal has a proposal
A deal with a proposal is won by the contact signing it, not by hand. That keeps "won" meaning the contact has agreed.
- Before it's signed, Won isn't offered in the stage picker. If you drag the deal to the Won column, it stays put and you'll see: "We can't mark this deal as won by hand. It's won when the contact signs the proposal."
- When the contact signs, the deal moves to Won on its own and takes the signed total as its value.
- After it's signed, the deal can move only between Won, Lost and On hold. It can't go back to an open stage, and a drag there explains why. The proposal stays signed whatever happens to the deal.
- Putting a deal on hold or losing it puts an unsigned proposal On hold or Cancelled too. Move the deal back to an open stage and the proposal returns to where it was.
See Proposals for more.
Delete a deal
Open the deal.
Choose the delete button (the bin) in the header, then Delete to confirm.
Its tasks, notes and conversation go with it. Tasks that are also linked to a project or another record are kept.
Good to know
- A deal's value is in your organisation's currency, set in organisation settings.
- Owners and admins set up the stages, tags, lost reasons and automations for deals in organisation settings, under Settings → Deals. See Pipelines and stages and Automations.
- Log activity in a deal's header records an interaction with one of its contacts, on both the deal's and the contact's timeline. It's greyed out until the deal has a contact linked.
